In the fall of 2007 East Carolina University started vaulting email. This means that any mail that has been on the server for 90 days is moved from the mail server to a different storage device where it will be stored for 3 to 7 years. You no longer have to worry about email being deleted from the server after you have forgotten about it for 120 days. Previously email in the Inbox and Sent Items folders would be deleted after 120 days, email in the Deleted Items folder after 7 days, and email in other folders never.
When email has been vaulted, it will appear in the Outlook folder with a vault icon to the left, as illustrated below.

To access the vaulted mail, all you need do is double-click on the icon. Once it has been retrieved you can forward it, reply to it, and so, just like with email not in the vault.
If you delete, in Outlook, a vaulted piece of email, it will no longer appear in Outlook but it is still in the vault. If you later decide you want that email back, you can find it in the vault and copy it back into Outlook (if you wish).
Once the client is installed on your computer four new icons will appear on the Outlook toolbar, outlined in red below.

How do I search the Vault?
Click the Search Vaults icon to search the vaults. Enter the text you wish to find and click Find Now. You will be presented with a list of emails that contain that text. Just click on one to open it.
You can also explore the vaults. Click the Archive Explorer icon. Select a folder in the pane on the left and items archived in that folder will be displayed. Double click an item to open it. Right click an item for other options. You can also Search here. Under Settings be sure that "Microsoft Outlook" (not "Web browser") is selected. Trust me, you would not like it set to web browser. Click Close to close the Archive Explorer and return to Outlook.

Clicking the Store in Vault icon will put the selected item in the vault.
How do I get to the vault from off-campus?
Although there are web applications (including the web interface to PirateMail) which can be used to access the email vault, I find it most convenient to use Outlook with the vaulting client. The email vaulting client should already (or soon) be installed on your PC at the office. If you want to install it at home here is what you need to do.
One minor annoyance with the client when used from home is that you will need to log in not only to Outlook but also to the client. After you have logged in to Outlook you will be presented with a second login window like that below. For your User name you must enter "intra\uuuuuu" where "uuuuuu" is your Pirate ID. The password will be the same one you use to log in to the mail server.
